Some quick good news, nothing we share today requires any data science or machine learning expertise. Rather, I outline traditional data analyst techniques that any hard working business person can apply to their own sports facility.

 

A Simple DIY Sports Facility Data Analysis Exercise in 4 Steps

Step 1: Prepare your data for visualization.

Great business intelligence requires clean data and easy to understand visualizations.

To achieve this, start with a simple table of your own data. Or you can even try creating a fake dataset to test your techniques. The one I used for this analysis is called Mockaroo.com.

For this exercise, I create a 7 column sports facility CRM customer contact table with the following fields:

  • client_id
  • first_name
  • last_name
  • gender
  • birthdate
  • status
  • age – custom calculated off the birthdate as =ROUNDDOWN((today()-E2/365))

I then cleaned up the data to make it easy to create the visualizations, by creating a lookup table and a helper table to assist in filtering out any values equal to zero (otherwise the visualizations don’t look as nice). Don’t worry, here’s a link to the spreadsheet, so you can make a copy and make it your own.

With my data ready, I created a simple dashboard of bar charts to analyze the lifecycle analysis of this fake sports facility dataset.

I created five simple bar charts that highlights the count of contacts per age group by gender. This helps me quickly see where our lifecycle of age groups are strongest and weakest. This sets up to answer my first question in the next step of this exercise.

 

 

Step 2: Prepare questions for analysis and exploration.

The next step is to prepare the questions you would like to explore and analyze with your data. For example:

  • What is the general trend of my existing contact data and where do new client opportunities exist?
  • How does our current client pipeline compare to the new client opportunities? And similarly, our archived, legacy clients?
  • What will my sports lifecycle look like next year and are we prepared for the change?

Whether you implement the analysis shared below or want to do your own data dive, it’s time-saving to know what question you are wanting to investigate and hopefully answer.

 

Step 3: Build your visualizations.

The below visualizations are about as simple as it gets and provide a great starting point for the health of your sports facility business pipeline by looking at new client opportunities alongside all contacts, which includes current customers, past customers and potential new customers.

 

 

 

 

Step 4: Aggregate initial insights and observations.

Insight 1:

This sports facility appears to have a strong pipeline in the middle of the age groups with weakness on the front end of their lifecycle. And the quantity of new client opportunities is relatively spread out across the age groups, with similar weakness in the 6 year old age group as shown in the All Contacts chart.

Insight 2:

Comparing our current offerings against the new client opportunities data, it is mission critical to make sure there are enough events available to satisfy this diverse client base. Otherwise, you risk losing out on potential revenue or worse, losing customers to another facility who can provide the services better aligned to their needs.

Insight 3:

Within the current client and new opportunities, the largest age groups are 8 and 9 year old Males, and 11 and 12 year old Females. This is where the bulk of the product offering should be focused, and may represent new opportunities to add additional value for these athletes.

Insight 4:

Are we losing too many 7, 10 and 12 year olds due to a lack of aligned athlete training offerings? Seeing these age groups as the highest in archived, lost clients, it would make sense to dig deeper into this. Reach out to a few of these clients to ask what they were looking for that they didn’t get from the facility’s offerings.

Insight 5:

One of the greatest benefits of a sports facility business model is also one of its greatest challenges. Every year athletes “graduate” from training and a younger generation of athletes come in. This is good, as there is always a recycling of new opportunities in the market. But, it is potentially bad if a facility owner is not prepared to operate the business this way.

As shown above, only 8.4% of 6 and 7 year old clients are set to replace what covers 17.3% of the existing business in the 7 and 8 year old age groups. This is a potentially significant problem, unless the facility is prepared to push marketing efforts hard to fill the coming gaps in the front of their lifecycle.

Insight 6:

When looking at the ages nearing the end of the lifecycle compared to the ages at the beginning, 19.9% of the older athletes are set to graduate from the facility in the next 36 months. And they are currently replaced by only 17.4% of the younger athletes, leaving a 2.5% gap. This doesn’t sound like a big problem. But, for a facility operating on a $2m annual budget, they are on target to see a gap of $50,000 if they do not address this issue long term.

Insight 7:

In each of the bar chart visualizations, it’s clear this sports facility has a decent distribution of clients across age groups. Knowing that, it would be beneficial for this facility to consider multi-age group events for their athletes to increase revenue through added value offerings.

 

In summary

Going from rags to riches is never easy. And, oftentimes, it’s a mythical version of a more realistic version of the same story. The reality of this story is that if data analysis as simple as shown here could add one offering to a facility that generates $100 more per month for as little as 25 clients, it would experience an increase of $30,000 in annual revenue. And odds are there is far greater potential in your real-life data.

As a coach, each piece of feedback you provide an athlete, whether positive or negative, will give them a sense of clarity and purpose in their sport.

Often at the end of an event or season, coaches present this feedback in a comprehensive and formal athlete evaluation. The purpose of an evaluation is to motivate each athlete to continue improving by reinforcing positive performances and discussing areas of improvement. As we near the end of the fall sports season, it’s imperative that coaches know how to leverage the tools to effectively provide constructive feedback in an athlete evaluation.

 

Components of an Evaluation

First, we must take a look at what goes into an evaluation. Athletes should be evaluated on their technical, tactical, and physical skills, which will vary depending on the sport. These include skills related to technique, coordination, power, and strength.

In today’s hybrid environment, the ability to communicate information both virtually and in-person has made technology tremendously valuable to coaches of all levels. Thankfully, video analysis tools have become accessible at various levels of athletics, from the youth to the Olympic level. Video analysis can be utilized to allow athletes and coaches to visualize, often for the first time, the small changes in technique that will make a big difference on the field of play. Not to mention even the smallest changes are paramount in avoiding future injury.

However, great coaches know that it takes more than just skill to make a great athlete. An impactful athlete evaluation also includes feedback on character traits such as leadership, sportsmanship, and determination. Develop a Scale

In order to give an impactful athlete evaluation, you must identify a consistent scale for measuring performance. Whether you are grading the athlete out of 5 or out of 100, this will help athletes gauge where they fall in a certain category. Usually, a middle point is identified as “average” whereas a high mark is “exemplary.”

It is especially important to keep a consistent scale, as this will help track athlete development over time. Conducting pre- and post-event evaluations, or evaluations each year can be used to highlight progress and growth for athletes.

 

Be Transparent in Communication

Clear and consistent communication is key to a strong coach/ athlete relationship. Through athlete evaluations, coaches are able to prompt even deeper conversations by providing a structured outlet to give constructive criticism and build on skills, techniques, game tactics, and character.

When giving an athlete evaluation, it’s important to communicate how the scores are determined. Are athletes being graded in relation to their age group or peers? Are they being scored as if they are a professional?

 

Provide Additional Clarity

It is your responsibility to help interpret the results of the athlete evaluation and offer additional clarity for why an athlete was scored the way they were.

An impactful athlete evaluation must include a section to make additional comments. Here, a coach can mention areas of strength and areas for improvement, as well as provide actionable tips and feedback on how they can reach the next level. Not only are athlete evaluations an opportunity to look retrospectively at the past season or event, but they can also serve as an action plan for how to achieve the next level of success.

 

“Sandwich” Negative Commentary

Remember, the purpose of an evaluation is to encourage, not discourage, an athlete. When providing constructive criticism, a popular approach is to “sandwich” the negatives in between positives. Discuss what areas are going well, then what they need to improve on, and close the commentary with another positive area.

 

Providing a strong athlete evaluation plays a crucial role in fostering growth and development both in a sport and as a person. It is critical that as a coach, you have a system in place to send and document feedback to your athletes. There are several key differences between each, so it’s important that studios, gyms, and academies think of these elements as separate factors that all work together to help fuel membership and revenue growth.

 

So what’s the difference between the three? And more importantly, how can using all three elements accelerate growth for businesses? First, think about the three as a series of steps:

After analyzing your membership data, you may see that clients that purchase membership “A” are 40% more likely to churn than those on membership “B.” Then you can apply those insights to ascertain what causes higher levels of churn in membership “A,” and reduce customer turnover.
