Innovation Issue: February Feature Roundup

February may be the shortest month of the year (even with the leap day!). But, there was no shortage of updates to the Upper Hand software!

We’ve continued to make upgrades to Upper Hand’s sports management software to increase flexibility and efficiency for you, your staff members, and your clients. We’ve also continued to tackle quick wins that improve your user experience.

Here’s a look at what went live in the app in February.

Manage Payment Plans for Camps, Clinics, and Teams

To improve flexibility when managing payment plans for camps, clinics, and teams, we have added the ability for you to manage those payments. Now, you can update a payment plan payment date. If a client needs extra time to make a team payment, for example, you can extend by updating that future payment date for that individual.

In some cases, you may also need to cancel an upcoming payment plan payment. For example, if an athlete can now only attend half of a camp, and they were in a 2-payment payment plan, you now have the option to cancel the second payment if you so choose.

View and Download Client Waivers

You and your clients are now able to view a copy of their waiver on their accounts, and download the proof of the agreement. This makes it easier for you to show proof of waiver agreement to the waiver should an issue arise. This waiver download includes the business name, client name, date of acceptance, and the content within the waiver.

If you don’t yet have a custom waiver added to your software account, your clients are prompted to sign the blanket Upper Hand waiver. Quickly Identify Missing Athlete Waivers

Speaking of waivers, we’ve added a No Waiver on File indicator in POS, making it easier for you to identify if a client has not yet signed your business waiver. This helps you stay on top of waiver collection and ensure both you and your clients are protected prior to training with your business.

Calendar Card Upgrades

We heard feedback from our clients that we could make the client check-in process simpler for front desk staff.

You are now able to hover over a calendar card and click on the attendees to open the check-in drawer. This reduces the number of clicks you or your front desk staff need to complete when checking clients in, saving time when you are checking in multiple athletes for various events at the same time.

For Classes specifically, we have made some additional improvements to the Calendar Card. For any class with more than 2 attendees, the maximum number of clients will now populate on the Calendar Card, making it easier for you and your front desk staff to stay on top of your class rosters.

In case you missed it, our team pushed some exciting new features to kick off the new year. Here are a few of the highlights:

Better manage your team of staff

Gone are the days of emailing our support team to add an additional admin user to your account! You can now invite new staff members as Admins from the Staff Contacts page. This makes it easier for you to give your team the access they need to run your business. And, edit Staff user levels at any time from the Staff Contacts page.

Design engaging marketing emails

New year, new updates to the Upper Hand app.

Our team has been off to a fast start in 2024, and we’re so excited about the updates we have planned for this year. At Upper Hand, innovation is in our DNA. Our team has hit the ground running, fueled by a shared enthusiasm and a clear vision for the future of our technology.

To help us kick off the new year, here’s a look back at some of the big changes our software saw in January. Let’s dive in to our first Upper Hand product update of 2024!

 

Upper Hand Product Update: January 2024

Up your Marketing Email Game

Our new marketing email capabilities give you even more flexibility to send vibrant and engaging marketing emails inside the Upper Hand software. Highlight important elements with bold or colored text, and easily include images or links to invite them to take action. And, preview these messages before you hit “Send.”

There are many benefits of designing engaging emails, such as improving open rates, enhancing the recipient’s experience, and significantly increasing click-through rates. Engaging emails can capture the reader’s attention from the first glance, making them more likely to read through your message and take the desired action. Furthermore, personalized and visually appealing emails build a stronger connection with your audience, fostering loyalty and encouraging repeat business. By leveraging these advanced features, you can create emails that not only inform but also delight your subscribers, setting your campaigns apart in a crowded inbox.

 

Track the reasons for membership cancellations

Inevitably, you will have some members that need to cancel their membership. Perhaps they are moving out of town, maybe their goals don’t align with that membership’s benefits, or, maybe they are looking to upgrade their membership to a different offering.

You can now select a reason for why a client is canceling their membership, and add any additional notes regarding the cancellation reason. This makes it easier for you to gain insights and identify trends for why clients are canceling their memberships, and take any necessary corrective action to prevent additional cancellations.

For example, if you have a number of clients cancel their membership because the offerings don’t align with their goals and purchasing behaviors, then this might be an indicator that it’s time to reevaluate your membership offerings so that they best meet the needs of your target clientele.

 

Make changes to your supporting staff

We’ve also made it easier for you to manage your team of staff, with two new updates that can happen in just a few clicks.

 

Invite other admins to your account

You are now able to invite other admins to your account! This eliminates the need for Staff Admins to file a support ticket, empowering you to give everyone on your team the appropriate level of access to seamlessly run your business through the app.

 

Edit user levels at any time

Speaking of account user levels, Admins can now also edit a staff member’s user level from the Contacts tab. This makes it easier for you to ensure your team all has the appropriate permissions. Once an update is made, the updated permissions will be reflected when that staff member next logs in.

 

Client Event Protection

Much like you can “protect your trip” when you book a flight, clients can now opt to protect the purchase of a camp, clinic, or other fixed schedule event.

During the checkout process, clients can opt into EventGuard insurance. At checkout, this small fee gets added to their total amount and sent to the insurance company. To see if a client has opted into insurance, you can check the Order Drawer.

When a client opts into the insurance and subsequently gets injured or sick, preventing them from attending the camp, you are not required to issue a refund through the Upper Hand app. Instead, the client will directly engage with the insurance company to secure reimbursement. And, your business won’t miss out on that revenue!

And just like that, another year has come and gone.

As we look back at the past 12 months, we saw a lot of growth, innovation, and development. And, we saw a lot of intention behind the changes that you implemented.

Both in your athletes, and in your businesses.

You came up with new training methods and ways to make training more fun and impactful for young athletes. You added new offerings and programs to support your vision and your athletes’ goals. And, you expanded your footprint – whether by clientele or by square footage.

At Upper Hand, we’re excited to have made quite a few innovative changes of our own.

And by a few, we mean 344 new updates to the Upper Hand app.

Thank you for always challenging us to push the status quo, add more features, and provide more value through our sports software.

We just don’t have the space to dive into every single win from this past year. So, we’ve Wrapped UP some of the highlights.

Upper Hand Wrapped: 2023

From new program offerings to a new client booking experience, our team prioritized not only your experience in the app, but the experience of your biggest asset: your clients.

Let’s first take a look back at some of the biggest features new to the Upper Hand app in 2023.

We launched a lot of new features this year, but Teams was truly a home run.

This year, our team diligently worked to bring new capabilities to the Upper Hand app. As a result, we announced the launch of our new team management functionality! This not only introduces our sports scheduling app to new sports team-based organizations, but also empowers our current customers to expand their business operations within Upper Hand. With our team management functionality, you’re able to manage your sports team rosters, schedules, payments, communications and more – all from your fingertips. Meet your new way of tracking athlete progress

Another big win for our team and our customers was the launch of a new Athlete Progression Tracking feature. Start by building out your exercises and training programs, then assign your athletes to the programs that are the right fit for their goals and ability level. Track their metrics at each session so you’re able to visualize their improvement and identify more opportunities for growth.

Say hello to a new and improved client experience

The team also made some updates to the Upper Hand client experience. The team found an opportunity to revamp the client login process with a new modal that doesn’t disrupt their buying experience. A new client booking flow improves the client user experience and helps you increase conversions. Additionally, we launched the ability for clients to quickly reschedule their own sessions – eliminating the hassle (and plethora of emails) that come from canceling the session and rebooking at a different time.

Even more updates to the Upper Hand app

In addition to these features, we also launched a number of other exciting updates throughout the year. Here are a few highlights:

Camp and Clinic Updates

With our Fixed Event Pricing Schedule feature, we’ve added the ability to offer early-bird pricing or raise/ lower prices as an event draws near.

Create pricing tiers based on the number of days an athlete chooses to attend camp. (For example, if you attend 2 days of camp, it’s $50, but if you come to all 4 days, it’s $75).

Alphabetized event check-in makes even your largest clinics and camps check-in a breeze.

An unpaid indicator at check-in helps you stay organized when collecting any remaining outstanding balances.

Membership Upgrades

Apply a dollar-amount discount to memberships (in addition to being able to offer percentage discounts for membership benefits).

You can now also include credit pass discounts as a part of your membership offerings.

Create and upload a custom Membership Agreement for clients to sign upon enrolling for a membership. Both parties can view and/ or download this agreement at any time.

Change a membership charge date without disrupting the member’s experience.

All-new membership landing pages make it easy for clients to view a membership’s benefits, empowering them to make the best decision when it comes to purchasing a membership that helps them achieve their goals.

A new membership page layout for admins provides even more insights into a membership – for example seeing a list of all of your active, suspended, canceled, or invited members in just a few clicks.

Marketing Enhancements

We’ve added the ability to create and save filters on your Contacts page, making it easier for you to identify athletes who meet certain criteria (for example, High School Boys or Middle School Girls)

And, create a live contact group from any of your saved filters – meaning that athletes will be added/ removed from a contact group based on the filter criteria you’ve set.

Account Credits and Account Balances

We’ve added the ability for clients to carry a positive account balance. Via the Client Profile, you can add a positive account balance – here’s a few ideas of how our customers have been utilizing this feature!

Alternatively, for clients with an outstanding balance on their account, we’ve made it easier for you to pay down that balance in just one transaction.

Staff Management Updates

You can now invite a user at the Instructor level. In this access tier, an Instructor will exclusively be able to see their calendar, set their availability and view their payroll.

We’ve also added the ability for you to set a priority order in which staff are booked for an open booking session like a lesson or training session.

You can now also set a commission rate for any and all retail and/ or memberships, empowering you to reward your staff members when they make a sale!

Business Admin Advancements

Filter your calendar by staff member or payment status

Add your business type and sport in your business settings to improve data collection and reporting.

Attach a document to a Client’s profile (for example a doctor’s note or a progress report).

We’ve added the ability to set facility-wide date-specific availability, making it easy for you to adjust your hours of operation to accommodate holidays or other events.

New features, new awards

With all of these new features came new awards for the Upper Hand team. Throughout the year, we were celebrated by Gartner Digital Markets as a top software provider in a number of different categories. We also received recognition from SourceForge as a Top Software Provider for Fall 2023. These awards were a result of the feedback from you, our valued customers. Without you all, we would not be able to continue delivering all-star solutions for you and your clients.

Our product updates have also resulted in a Client NPS score of 47, which is significantly higher than the industry average of 31. This puts Upper Hand in good company, with similar ranks as top brands like Netflix, Amazon, Apple – a testament to the hard work of our team to deliver a product that your clients love.

This year, we prioritized innovation and technology

In 2023, Upper Hand AI was in full-swing, with new reports being developed in response to customer feedback. These visualizations and reports have already helped our customers dive deeper into their business’s data and make decisions that lead to business growth.

In addition to adding value to our customers through our software, we also kept a close eye on all the latest technological advancements. One of the biggest tools that came out of the year 2023 was ChatGPT. As a result, we hosted a series of webinars to help sports business owners get the most out of ChatGPT, Midjourney, and other AI tools. View the past sessions on demand here.

What's UP in 2024?

Why We Built This: Introducing Sports Team Management

We took the best parts of Upper Hand’s software to build all-new Sports Team Management functionality. Here’s what you need to know.

 

A successful sports team is made up of many individuals with different roles who all come together to achieve a common goal. Some athletes excel in scoring, others in assisting, others in defending.

Take for example the Chicago Bulls during their dominating stint in the 90s. Michael Jordan’s primary role was the scorer. Scottie Pippen was a versatile playmaker who excelled in many areas. Dennis Rodman’s role was primarily focused on defense and rebounding.

While each athlete had a different strength, it was only because the team had all of the right tools in place that the team was successful.

The same is true when it comes to managing a sports team. It’s imperative that coaches have a pulse on all areas of managing their operations. To do that, they need the right tools to do the job.

That’s why we built Team Management functionality within Upper Hand.

We understand how important it is for you to efficiently manage your roster and schedules, collect payments, and communicate with your athletes and parents. Now, you can manage all of these areas at your fingertips, enabling you to focus on your athletes and your game plan.

 

 

Combining the best parts of Upper Hand’s software

Just as you assemble a team of athletes whose strengths complement each other’s, we’ve taken functionality of different areas within our software to build our Team Management tool.

We’ve combined the event creation process of our fixed schedule events (camps and clinics), with the flexibility of our Classes scheduling process. This enables you to set up a team registration, offer flexible payment plans, and set and manage multiple schedules for various team obligations, all from one place. Additionally, you’re easily able to communicate with your team rosters, ensuring everyone is up to date and on the same page.

 

From 3+ features to 1

Previously, to run teams in Upper Hand, you had to get creative, leveraging different areas of the software for different tasks. You collected payments one way, set your schedule another, and used a number of workarounds for the software to accomplish the goals you needed.

We heard a lot of feedback from both current and prospective customers that they loved the Upper Hand app when it came to managing their lessons, camps, clinics, and other programs. But, they would appreciate an easier way to manage their sports teams.

That’s why we combined all of the tasks associated with running a team into one new feature.

Now, all of these tasks – payments, scheduling, roster management, marketing – are housed within the Teams tab on your Upper Hand software account.

 

How our Team Management feature works

So, how can you manage your teams in Upper Hand? Here’s a rundown:

 

Manage your rosters at your fingertips

Just as our sports management software gives you the tools to run your business, your way, our Team Management functionality enables you to build out your rosters in a way that works for your sports club or team. Once you’ve set your roster criteria (for example an age range, gender, or max size), you have a number of options to get your athletes on the correct team.

 

Invite-Only Teams

First, you may opt to make your teams “Private”, meaning that the team is by invitation only. This gives you complete control over who is on each team’s roster, and that athletes and parents only see the team that the athlete will be participating on.

For example, you may host an open tryout, which you set up through your Upper Hand account. Following the tryout, you can work your magic to form your various teams. Then, you can send an email to a particular athlete group inviting them to register for the applicable team, thus sharing the registration details, payment collection, and scheduling.

For travel teams, or large organizations with multiple teams within a particular age group (for example the U12 Suns and the U12 Stars), this gives you absolute control who is on each team.

 

Public Teams

Alternatively, you may choose to post your teams publicly, enabling clients to browse different team offerings and register for a team. While this does give you less control over your team rosters, it can be a great option for more public facing teams and leagues that are less structured in terms of “making” a roster.

Again, regardless of the way you choose to build out your team rosters, Upper Hand gives you the flexibility to manage your sports team rosters your way.

 

Set multiple schedules for one team

There are a lot of moving parts when it comes to managing a sports team. It’s important to know who, what, when, and where a practice or game is taking place. Having to search in different places to find those answers can result in missed opportunities and scheduling conflicts.

Another critical element of Upper Hand’s Team Management functionality is the ability to set and manage multiple schedules within a team. Similar to Upper Hand’s Classes functionality, you can create a schedule as well as set a number of sessions within that schedule.

For example, a team’s schedule may look like this:

  • Practice: Tuesday and Thursday from 5:30-7:00 pm
  • Strength & Conditioning: Wednesdays from 7:00-8:00 pm
  • Games: Saturdays at 11am

With Upper Hand’s Team Management feature, you can set all of those schedules, reserve the needed resources and staff members, and ensure that athletes and their parents are kept up-to-date with when and where they’re expected to be at a team obligation.

 

Keep everyone on the same page.

Another vital component of running a successful sports team is ensuring that everyone is on the same page and receives all important team communications. Feedback from our customers told us that not only was it important to organize team logistics, but it was equally important to be able to communicate with team members throughout the course of a season.

Upper Hand’s team management functionality allows you to do just that.

 

Group messaging

Instead of creating an external email list or sending out a group message with (hopefully) everyone’s contact information, you can share important updates via email through the Upper Hand app. In just a few clicks, you’re able to send a message to your entire team roster, making it easy for you to send updates about practices, share information about game day logistics, or even send an invitation to attend a team only event or other program.

 

Individual messaging

At the individual level, you’re also able to easily message a specific attendee through Upper Hand’s team management system, eliminating the need for third-party tools or tracking down the right contact information and keeping all team-related tasks in one location.

By navigating to a team’s roster, you’re then able to navigate to an athlete’s profile, which will reveal their contact information, any past or upcoming sessions (including team obligations), membership status, outstanding balances, and more. From there, you can send a message via email to that client, making it easy for you to communicate with your athletes.

At Upper Hand, our product roadmap is driven by customer feedback. Some of that feedback we’ve received is that it would be great for Upper Hand clients to carry a positive balance on their profiles.

Enter: our new Account Credit feature!

Within the Upper Hand app, we’ve added the ability to apply a positive Account Credit to a client’s profile. This Account Credit essentially allows a client to carry a positive account balance on their profile. Much like a store credit or gift card, this balance can be applied to future purchases. Here’s how Account Credits work in Upper Hand.

Maybe you already have an idea about how you can utilize this new functionality.

Or, perhaps you need some inspiration to get the most out of it.

Here are 3 ways you can utilize Upper Hand’s Account Credit feature for your sports facility or training academy.

But first, here’s how to add an Account Credit in Upper Hand

1. Log into your Upper Hand account

2. Navigate to the client’s profile page*

3. Click the “View” button inside the Account Credit box

4. Click the 3 dot menu inside the drawer

5. Select “Create Credit.”

6. Add the Credit amount and an optional note and set the credit type, and it will be applied to the client’s profile.

You can view a full history of a client’s Account Credit by opening the Account Credit drawer at any time.

*Note: Only primary account holders can have an Account Credit, however the balance can be applied when purchasing items for a Managed Profile.

3 Ways to use Upper Hand’s Account Credit feature

1. Offer a store credit instead of issue a refund

We’ve all been to stores where you make a return or cancel a purchase, and instead of being refunded to your initial payment method, you’re given a store credit. Now, you can implement the same strategy at your sports training business!

When an athlete can no longer attend a session, you can opt to add an account credit to that athlete’s profile for the price of the session, instead of issuing a refund when canceling. Then, when an athlete goes to book their next session, they can apply that Account Credit towards a new purchase.

By issuing a store credit instead of issuing a refund, you are encouraging athletes to rebook sessions that they’re no longer able to attend. This helps increase client retention and loyalty, as clients are more likely to spend their store credits rather than take their business elsewhere. Additionally, store credits will keep the money within your business, allowing you to maintain better control over your finances.

2. Redeem a gift card

Another way to utilize Upper Hand’s Account Credit feature is as a “gift card.” In this use case, someone could purchase a gift card for an athlete. Then, the gift card balance can be applied to the athlete’s profile.

For example, if a parent or grandparent would like to purchase a gift card for an athlete, once the gift card has been purchased, you can add that balance to the profile. Athletes can choose when and how much of their gift card they’d like to redeem as they purchase new lessons, apparel items, etc.

Offering gift cards is a great way to offer gift-givers a personalized and thoughtful gift option for athletes and clients. Gift cards increase flexibility, as athletes can choose the exact training or item they want. Additionally, gift cards can lead to upsell opportunities, and recipients may choose to spend more than the card’s value, or may continue to purchase programs that they are excited about, which can further boost your revenue.

3. Provide an incentive for client referrals

You can also utilize the Account Credit feature as a low-cost marketing strategy to reward clients who refer other athletes to your business. If a new client mentions an athlete’s name when they sign up for a session, for example, you may opt to apply a small Account Credit to the referring athlete’s profile.

The benefits of a referral program are manifold. First, a referral program incentivizes your current clients to spread the word about your business and grow your clientele. And ultimately, you’re encouraging them to become loyal brand advocates of your business. Additionally, as athletes continue to promote your sports training academy or facility, you will expand your customer base. This will lead to a diverse group of new customers, and ultimately drive more revenue to your business.

At the end of the day, utilizing Upper Hand’s Account Credit feature to support your referral program will foster a sense of community among your athletes. And, as a result, you’ll find that it enhances the overall training experience.

It’s a time to reflect, regroup, and strategize to ignite a second-half surge to close out the game on a high note. Additionally, it’s a time to reflect on the first half achievements and the progress made towards a greater goal.

As we near the end of June, we are coming up on our own “halftime” – halftime of the year 2023.

At Upper Hand, we’ve been hard at work not only enhancing current features, but releasing entirely new products to empower you in every aspect of running a growing sports training business.

From simple verbiage changes that enhance your clients’ experiences to completely new functionality like Athlete Progression Tracking, we’re excited to share some of the highlights of the advancements we’ve made throughout our sports scheduling app.

Camps & clinics upgrades

One priority of our team has been to enhance the staff and client experience when it comes to running successful sports camps and clinics. We’ve pushed a number of updates that improve multiple aspects of running successful sports camps, from pricing flexibility to event-day logistics.

New, flexible pricing options

We’ve built some additional functionality to increase flexibility when it comes to pricing your camps and clinics. Offer early-bird pricing or raise your prices as the event nears by setting a pricing schedule for your fixed schedule events. This feature empowers you to automatically implement pricing changes after a set date.

Additionally, you can choose to offer pricing tiers within your camps and clinics. For example, if you are hosting a 5-day Summer Sports Camp, you can not only set the price for the full event, but you can also set a price for clients who attend only one session, a price for those who attend two sessions, and so on.

Easy roster switching

We also know that sometimes things come up, and a client who initially registered for your Tuesday clinic now wants to attend Thursday’s session instead. Now, transferring this client between fixed event rosters is as easy as a couple of clicks! This makes it easier for you to maintain accurate event rosters as well as ensure clients are attached to the correct event.

Streamlined event-day check-in

On event day, it can be challenging to efficiently get all of your athletes checked in. We’ve made it even easier for you to streamline this process by alphabetizing your event check in by last name. Speaking of check-in, we’ve added an unpaid client indicator to the check-in drawer that shows which athletes are still unpaid, allowing you to stay on top of your outstanding payments!

Improved calendar functionality

Event check-in isn’t the only area of improvement within Upper Hand’s calendar. We’ve also made a series of updates to make this area of the software even more convenient for you and your staff members.

Revamped calendar card

We swapped some things around on our calendar cards to make them even more useful for you or your front desk staff. Easily view the client name and associated resource without having to hover over the card. This will speed up your check-in process, especially if you have multiple athletes coming in for a similar event offering at the same time.

Take more action in Quick Pay

Quick Pay within the Upper Hand calendar is one of the easiest and most convenient ways to take action on outstanding balances. We’ve added some additional functionality to the Quick Pay modal so that you can take even more action.

Waive a balance right from Quick Pay, instead of navigating to the client’s profile. If a client wants to purchase a retail item, like a bottle of Gatorade or Water, when they are paying for their lesson, you can now add a retail item to their cart while using Quick Pay, and process both in a single transaction.

Filter your calendar view

Whether it’s to help visualize where your staff members will be training in a given day, see your personal schedule, or to see at a glance your paid or unpaid sessions, new calendar filters help you customize your view to be most impactful and save you valuable time. If you operate out of a facility with a number of resources or spaces, you can utilize this filter to help organize your staff members so that they are in the same resource all day (and not bouncing around from space to space trying to figure out where to be). And, you can keep tabs on your unpaid sessions so that you know who you need to collect payments from as they show up to train.

Added scheduling flexibility

Alongside the string of camp and clinic (fixed schedule event) upgrades, we’ve also continued to push enhancements that help you more efficiently run your private or group lessons and training sessions.

Set scheduling timeframes

We know that sometimes, you don’t want your calendar open as wide as the eye can see. So, we’ve made an update to empower you to set how far in advance your clients can book a lesson. Previously, this was a manual process, where you would have to adjust your availability every month or so to prevent clients from booking too far in advance. Now, you can keep control of your schedule at an interval that works best for you.

Membership Modifications

We know how important membership management is for your business, especially as a source of recurring revenue and stability. Your members are a critical piece of your business, so we know how important it is to make their experience great.

Offer even more membership perks

We’ve made some upgrades to our memberships to make them even more beneficial for both you and your members. In addition to offering percentage-based discounts, you can also choose to apply a dollar-based discount to your memberships (For example, $10 off camps or $15 off lessons).

Additionally, when choosing what perks to give your members, you can now opt to include credit passes as a membership benefit! This gives you even more flexibility to customize your membership offerings to fit the way you run your business.

Manage membership contracts

Just as your clients complete and sign a waiver when they create their Upper Hand account, you now have the opportunity to upload a custom membership contract, which clients can agree to and sign upon enrolling in a membership. And, it is accessible within the client’s profile at any time. If you already have a membership contract that your clients sign, then great – managing this aspect of your business is now easier than ever! If not, you may consider creating a custom membership agreement that outlines the policies of being a member.

Getting rid of the stacks of papers (like membership contracts) in your office is great. But, in the event that you or your members would like to view – and download – a copy of this agreement, you are able to do so. This download not only includes the information included in the contract in which they signed, but also the name of the client and the date that the agreement was signed.

Manage membership statuses

Not only have we added flexibility when it comes to the benefits of your memberships; we’ve also made it easier for you to manage the statuses of your memberships. Should a member decide to cancel their membership, for example ahead of their next billing date, their membership card within their profile will show not only that the status of the membership is set to cancel, but also the date in which the cancellation will go into effect. This makes it even easier for you to manage those pending cancellations.

Additionally, you can now seamlessly change the date in which a client is charged for their membership. For example, if they have been charged on the 5th, but would like to be charged on the 15th, you can now adjust that charge date.

Gain deeper insights into memberships

We’ve also launched new membership landing pages! Similar to our event pages, each of these landing pages has its own unique URL, making it even easier for you to direct people to a specific membership offering, or to embed behind a button on your sports business website. This helps prospective members understand the various benefits and perks of each of your membership options, enabling them to make an informed decision and enroll in the membership that is the best fit for them.

Administrative Enhancements

We’ve also made a series of upgrades to the admin experience throughout our software. Let’s take a look at some of the updated actions and capabilities when it comes to managing a successful sports training business.

New instructor access level

Based on feedback from our customers, we’ve added a new software access level: instructor. Those you invite to the software as instructors are able to view their calendar, set their availability, and view their payroll. But, they are limited in processing payments or client contact information. This access level is designed for instructors to be able to view their schedule (and know when and where to show up), but will prevent them from canceling lessons, taking payments away from the front desk, or stealing client contact information to train elsewhere. And, it adds an additional layer of simplicity for those instructors who are brought into your business to coach, but don’t need to be overwhelmed with additional administrative duties or access to financials.

Archive former staff members

To ensure your staff database is up to date, you can archive any old or former staff members, thus removing them from associated events and removing them from the calendar. This will help ensure that you keep things accurate and free of outdated information, improving efficiency and saving time.

Take more action within a client’s profile

If clients opt to “pay later” for their lessons or training sessions, they may find themselves with a larger outstanding balance tied to their account. Pay down a client’s total outstanding balance in one transaction via their Client Profile. If needed, you can also edit a client’s available credits or adjust a client’s credit balance down to 0 from their profile. Within Client Profile Pages, you can also attach a document to a client’s profile – for example medical or health history documentation, progress reports, or other documentation that is accessible by you and your staff members.

Quickly find the client you’re looking for

As your database of clients grows, it can become a bit harder to find the client you’re looking for in your contacts or in Point of Sale. In addition to searching for a client by name or email address, we’ve also added the functionality to search for a client by phone number.

Set date-specific business availability

Need to close early for a company party, or have special hours for a holiday? Easily set date-specific business availability that will be enforced throughout the software. For example, if you are typically open until 9pm, but would like to close at 3pm on Labor Day, you can adjust your business hours for just that one date without having to adjust individual events or staff availability.

New Product Add-Ons

In addition to improving our core software, we’ve also launched a few new product add-ons to make managing other aspects of your business even easier.

Athlete Progression Tracking

Athlete Progression Tracking allows you to build out workouts and training programs and assign athletes to those programs to monitor their progress over time. This helps you to digitize your workouts, develop structured training programs for key goals (for example a 4-week pre-season conditioning program or a 6-week speed and agility program), and keep track of your athletes’ metrics as they move through each workout.

There are a number of benefits tied to tracking athletes’ progress. Not only does this feature help you quantify an athlete’s improvement, but it also helps you establish coaching credibility to continue to grow your brand. For athletes, having a report card with their metrics helps to validate the work they are putting into training. And, it motivates them to stay consistent in order to achieve their goals. For coaches, it helps compartmentalize your training into various programs, and identify key outcomes to utilize in marketing efforts.

An Open Letter from our Founder and CEO: A New Chapter at Upper Hand

Dear Upper Hand Community,

 

I have some exciting news to share with you. Upper Hand has successfully secured an oversubscribed financing in its latest round of funding led by top-tier venture capital firms Lometa Capital and Park Ten Capital. This funding will be used to invest in new product features and data science initiatives that accelerate the development and expansion of Upper Hand’s integrated software and payments platform, which helps sports facilities operate more efficiently, fuel growth, and provide premium experiences for their clients.

 

As I reflect on this incredible milestone, I can’t help but think back to when I first started this company.

 

Back in 2012, as a baseball coach, I saw the need for a better way for athletes to connect with private coaches. That’s when I created bookacoach, the “destination for sports lessons.” Yet as we grew we saw a much greater need and challenge to build a platform of tools to help sports facilities manage their business operations. So, in 2016 we re-branded as Upper Hand, the first sports facility and athlete training management software company.

As many of you may know, I’ve been passionate about business for a very long time. My obsession with learning and understanding how to help others through business started in the third grade, when I started my first company, “Mac and Jab Enterprises” to write commercial jingles for the local AutoZone. Through the years, that obsession has been a constant driving force for me. And it’s no different today.

 

When COVID hit and everything turned upside down, I believed that perhaps the best way to fight back and create true value for customers would be found in the insights and intelligence that can be derived from data. My “student of the game” approach led me to pursue an ambitious vision to pivot Upper Hand from a sports software app company to one driven by data science.

 

That pursuit has taught me that market dynamics are rapidly changing, with artificial intelligence now driving significant advancements in every industry, including the sports industry. Therefore it is becoming increasingly important for you to stay ahead of the curve and use data to make informed decisions.

We’ve always understood the benefits of participating in sports. But, after a steep decline in 2020, we are finally starting to see youth sports participation back on the rise. And as a result, improved physical, mental, and social health and well-being among young athletes.

You are a key piece of this puzzle.

This year, we prioritized the athlete experience. From implementing a new client-facing client profile page to launching new features that empower you to spend more time on the field/ court, 2022 quickly became an inspiring year for our team.

 

Upper Hand rang in the new year celebrating another win at the Powderkeg Tech Culture Awards, where we were celebrated for our tech company culture. In March, our CEO, Kevin MacCauley was recognized as a member of the 2022 Indianapolis Business Journal Forty Under 40 class. Throughout the year, we were also recognized by Capterra for our membership management solutions.

 

Celebrating Customer Success

Not only was 2022 an exciting year for our team; it was also a newsworthy year for our customers.

We started the year highlighting House of Hustle, who shared how Upper Hand has helped their team reallocate their resources to unlock new revenue streams: memberships. Later in the spring, we highlighted the success of Tom Emig, Owner of D-BAT Newark. As the winner of the 2021 “Fast Start Award” across all D-BAT locations, Tom shared how Upper Hand helped him rapidly scale up his memberships (and consequently, revenue). This fall, we showcased Ruggiero Hitting, who has found success with implementing group training. Many of our customers saw similar growth and results from expanding their offerings and reallocating their time and resources.

This year, D-BAT Academies was named to the Franchise 500 as a top growing franchise for the third year in a row. Additionally, X-Golf was named to the Franchise 500 list for a second consecutive year. Athletic Republic also had a lot to celebrate this year, with Caleb Williams, AR Capitol Region Athlete, winning the Heisman Trophy!

 

 

Upper Hand Product Innovations

We can’t wrap UP our year without taking a look back at all of the new updates that came to the app this year.

2022 was filled with new releases and updates. 266 to be exact. From new capabilities to improved functionality, we not only spent time improving your experience with the software, but also the experience of your athletes and clients.

 

While we launched a lot of new features this year, the Client Profile Page was truly a home run.

 

 

We first introduced you to the new Client Profile Pages just before the new year. But, throughout 2022, we made a number of enhancements to the feature, including

  • The ability for staff and admins to easily edit a client’s email address from a client’s profile page.
  • The ability for clients to sign their waiver in-house, via a client’s profile.
  • Messaging a client from their Client Profile Page.
  • The ability to access a client’s profile from the Session Summary Drawer.
  • The ability to scan a Client QR Code to populate their client profile from any screen.

In addition to Client Profile Pages, we launched a number of other features that improved your client experience, for example, the ability to search for an event within the software.

 

Another exciting update to Upper Hand was the introduction of Repeat Booking.

This feature allows you to book recurring sessions, putting you and your staff back on the field and away from scheduling. For example, if an athlete wanted to schedule a private lesson for the same time every Monday and Wednesday for a month, you can now book all 8 of those sessions in just a few clicks.

 

Say hello to an all-new Classes layout.

This year, our team also prioritized feedback to improve our classes functionality. The new classes layout allows for easier class and session customization, as well as the ability to make adjustments that are as agile as your athletes.

 

In addition to these features, we also launched a number of other exciting updates throughout the year. Here are a few highlights:

  • Scheduling and Registration Enhancements
    • In addition to Repeat Booking, we also released various other updates that enhance your scheduling and registration processes.
    • You are now able to enforce specific age ranges for your events, ensuring that only eligible clients are able to register, and that everyone is registered for the events that are the best fit for them.
    • Let your clients book credits in advance, or choose to prevent them from doing so, with our credit scheduling updates.
    • Set a registration deadline for your events – like camps and clinics – so that you’re able to close registration prior to the event start.
  • Event Specific Payment Methods
    • Earlier this year, we released Product Type Specific Payment Methods, which allowed you to offer certain payment methods for different product types. With Event Specific Payment Methods, you are able to set acceptable payment methods for each event that you run. So, if you typically accept credit cards or check payments for your events, but want to run a Winter Camp where you only accept cards, you are now able to do that!
  • Business Blackout Dates
    • We’ve also made it easier for you to set a blackout date for your business. This makes it even easier for you to update your business’s schedule on any dates they are closed, for example Christmas or New Years.
  • Updated Reporting
    • We’ve made it easier for you and your staff to identify no-shows, so that you can take action. For example, if you notice that a particular event or class seems to experience a high no-show rate, you may choose to adjust your cancellation deadline or incorporate a no-show fee.
    • We also launched a new Cost of Goods Sold report, which allows you to track the revenue generated per sale.
  • Improved Client Communication
    • In addition to the ability to message a client via their client profile, we also added the ability to message a client or roster for a specific session within the app.
